When to use this

Use this article when you need to add a Guest Check-In in Topo. The main staff surface is member profile guest check-in flow. It is written for Front Desk, Managers.

Before you start

  • Open member profile guest check-in flow.

  • Confirm the correct location is selected before check-ins, guest entries, kiosk handoff, or POS sales.

  • Keep the member profile open when resolving blockers so you can verify waivers, access, payment status, and notes in one place.

Steps

  1. Open the host member profile and start the guest check-in flow.

  2. Search for the guest member record. Create or complete the guest profile first if no member record exists.

  3. Confirm the guest has a valid waiver.

  4. Choose the available guest allowance, punch/pass option, or paid access path shown by Topo.

  5. Complete the guest check-in and confirm it appears in the visit history.

  6. If the guest is not eligible, send them through the normal member/profile/waiver setup before entry.

What happens after saving or completing this

  • Successful check-ins create visit history for the selected location.

  • Failed check-ins preserve the blocker reason so staff can resolve the right issue.

  • Reports and member activity update from the completed visit or guest entry.

Common issues and fixes

  • Guest check-in is staff-side only and uses an existing guest member record.

  • A guest without a valid waiver should sign before entry.

  • Do not use guest checkout in POS as a substitute for a guest check-in record.

  • Check-in is blocked after a sale: payment does not override missing waivers, archived status, frozen access, expired proficiency, or wrong-location access.

  • The member is not found: search by full name, email, phone digits, and QR token before creating a new profile.

  • A family or guest check-in has mixed results: resolve each person separately because waivers, access, age, and proficiency can differ inside one group.
