Create and Publish a Form

Learn how to create and Publish a Form in Topo, including title, slug, description, intro email, thank-you copy, fields, validation, preview, publish, slug lock, archive.

When to use this

Use this article when you need to create and Publish a Form in Topo. The main staff surface is Staff > Marketing > Forms. It is written for Managers, Marketing.

What this covers

  • Title, slug, description, intro email, thank-you copy, fields, validation, preview, publish, slug lock, archive

Before you start

  • Use a staff role that can view or edit forms. Sending forms may require a separate send permission.

  • Create or identify the custom fields you want the form to collect.

  • Publish the form before sharing or sending it.

  • Build and refresh the target segment before sending a form to an audience.

  • Review submission privacy before exporting or sharing responses.

Steps

  1. Open Forms and create a draft form.

  2. Enter title, slug, description, intro text, and success message.

  3. Add existing custom fields or create a new field from the builder.

  4. Set labels, help text, required flags, order, and conditional display.

  5. Preview the form as a member would see it.

  6. Publish only after at least one field is present; archive forms that should no longer collect submissions.

What happens after saving or completing this

  • Topo saves the record in your gym account and updates the related staff screens.

  • Member-facing visibility, checkout behavior, access, email delivery, inventory, or reports may change depending on the workflow.

  • Review the affected profile, checkout, signup page, report, or audience before considering the task complete.

Common issues and fixes

  • A form cannot be published with no fields.

  • Once a form is live, the slug is locked so shared links keep working.

  • Archived forms stop collecting new submissions but preserve history.

  • Bulk send is disabled: verify sender-domain setup and confirm the environment allows real marketing sends.

  • Recipients are skipped: check subscription status, category preferences, selected lists, selected segments, and whether the audience has subscribed recipients.

  • AI or automation content looks wrong: update the source Help Docs, templates, or sequence steps, then review the draft before sending.

  • Publish the form before sending it.
