Create and Publish a Waiver
Create a waiver, configure its signing rules, publish the first version, and make it available for members.
Before you start
Have your final waiver language reviewed by the appropriate legal or operations owner for your gym.
Decide whether this is the main signup waiver or an additional waiver sent only to certain members.
Decide whether signatures expire after 1 year, 2 years, never, or a custom number of days.
If the waiver only applies at certain locations, confirm those locations before publishing.
Create the waiver
Go to Staff > Admin > Waivers.
Choose New waiver.
Enter a clear waiver name. This name is visible to staff and can appear in member-facing signing flows.
Choose the expiration rule. Members will need to re-sign once the signature is no longer current.
Choose whether to make this the signup waiver. The first waiver you create may default to signup behavior; later waivers can be additional waivers unless you explicitly make one the signup waiver.
Keep Active checked when the waiver should be usable for signing and check-in gating.
Enter the waiver text in the rich-text editor. The first publication creates version v1.
Optional: add an orientation video URL from a supported video host. If you require watching before signing, members must confirm the video before submitting.
For multi-location gyms, choose all locations or specific locations only.
Save the waiver.
After saving
Open the waiver detail page and confirm the current version, settings, expiration, active state, location availability, and orientation video preview.
If this should be the waiver shown during signup, use Set as signup waiver when available. That makes this waiver the one used for the signup waiver role.
Go to Staff > Admin > Sign-up Flow and confirm that the relevant locations require the waiver step if members should sign during signup.
Send a test link to an internal member profile before relying on the waiver operationally.
Common issues and fixes
No published version appears: make sure the waiver text was saved when the waiver was created, or publish a new version from the waiver detail page.
Members do not see the waiver during signup: the selected signup location must require the waiver step, and the waiver must be active.
The video does not embed: use a supported YouTube, Vimeo, or Cloudflare Stream URL and test the preview on the waiver page.
The waiver should apply only at one gym location: edit the waiver and set availability to specific locations.
