Update a Waiver After Members Have Signed

Safely change waiver wording by publishing a new version and choosing whether existing signers must re-sign.

Use a new version for legal text changes

Do not edit signed waiver text in place. In Topo, signed waiver text is handled as versioned history: publish a new version when the wording changes, then decide who must re-sign.

What can be edited without a new version

  • Name and active state.

  • Expiration rule.

  • Whether staff review is required for new signatures.

  • Orientation video URL and whether watching is required.

  • Location availability.

Publish updated wording

  1. Go to Staff > Admin > Waivers and open the waiver.

  2. Choose Publish new version. The editor starts from the current version so you can make targeted changes.

  3. Update the waiver text.

  4. Choose the re-sign scope: Nobody, Only the current version, or All prior versions.

  5. If you require re-signing, decide whether to email affected members immediately. Leaving the email option off invalidates signatures now but lets you message members later.

  6. Publish the version.

Choosing the re-sign scope

  • Nobody: use this only when the wording change should apply to future signers but should not invalidate existing current signatures.

  • Only the current version: use this when the latest text changed and members who signed that version should sign the replacement.

  • All prior versions: use this when every current signature on any older version should be treated as no longer current.

What happens after publishing

  • The new version becomes the active version for future signatures.

  • Invalidated signatures stop counting as current. Required waivers can block check-in until the member or guardian signs again.

  • Old signatures remain in history for audit and PDF review when available.

  • If notification is enabled, affected members receive tokenized re-sign links.

Common issues and fixes

  • A member says they already signed: check which version they signed and whether the signature was invalidated by the new version.

  • The front desk sees waiver blockers after a change: send a re-sign link from the member profile or the waiver's re-sign tools.

  • You only changed a setting, not legal text: use the waiver Edit drawer instead of publishing a new version.
