Use Dashboard Search, Activity Feed, and Action Items
How to find members quickly, read recent activity, and act on dashboard alerts.
What the dashboard is for
The dashboard is the fastest place to find a member, see recent gym activity, and review operational alerts. The dashboard requires dashboard access and a selected location. Instructor-only staff are routed to their instructor view instead.

Search for a member
Choose the right location.
Select the search field.
Type a member name, email, phone number, or QR code.
Use the result actions when available: Check in, Add guest, or Sell.

How search results are evaluated
Topo searches members inside the current organization and limits results to a small set so the lookup stays fast. For each result, Topo checks active access, guest access, and waiver gating for the selected location before showing check-in and guest actions.
Use the activity feed
All shows the recent feed across supported event types.
Check-ins, Waivers, Memberships, Sales, and Failed check-ins narrow the feed to a specific operational history.
Location-specific activity shows the location when applicable.
Use action items
Action items summarize work that needs attention, such as review tasks, past-due access, expiring waivers, pending proficiencies, and expiring proficiencies. Some counts are permission-gated, so staff only see what their role is allowed to review.
Common pitfalls
If search results do not show a check-in action, the member may lack valid access, may be blocked by a waiver requirement, or the selected location may not match their access.
If action items look empty for one staff user but not another, compare their role permissions.
If the dashboard asks for a location, choose a location before searching.
