Waivers for Minors and Guardians
Use guardian relationships correctly so minors are covered by signed waivers and can check in.
How minor signing works
Adults sign waivers for themselves.
Minors need a parent or legal guardian to sign on their behalf.
When staff send a waiver link for a minor, Topo looks for a recorded guardian with an email address and sends the signing link to that guardian.
A guardian signature records both who signed and which minor the signature covers.
If no guardian with an email is on file, Topo blocks sending and asks staff to add one first.
Set up a minor before sending a waiver
Open the minor's member profile.
Confirm the date of birth is correct so Topo knows the member is a minor.
Add or confirm the guardian relationship.
Make sure the guardian has a deliverable email address.
Use the Waivers card to send the correct waiver to the guardian.
What the guardian receives
The guardian receives a tokenized link by email.
The signing screen asks for the guardian's signature, not the minor's name.
The completed signature covers the minor named in the signing flow.
If an orientation video is required, the guardian must confirm it before submitting.
Check-in behavior
A required waiver for a minor is current only when a recorded guardian has signed for that minor and the signature is not expired, invalidated, or pending review.
If a guardian relationship changes, review whether existing signatures still satisfy your gym's policy.
If a minor turns 18, review their account and waiver status according to your gym's operating policy.
Common issues and fixes
The waiver link cannot be sent: add a guardian with an email address.
The wrong adult received the link: update the guardian relationship and resend.
The guardian says the link expired or was already used: resend the waiver from the minor's profile.
The minor is still blocked after signing: confirm the signature covers the minor, not only the guardian's own profile.
